RESPONSIBILITIES OF
EXECUTIVE DIRECTOR
As a consultant, and the Executive Director of
theAIA Palm Beach Chapter, The executive
director acts as the Chief
Administrator of the chapter, reporting to and
receiving direction from the Executive Committee,
to carry out the business of the chapter according
to the chapter's By-Laws.
Specific responsibilities are listed under the
following categories:
A. FINANCIAL SERVICES responsibility of
business management of the chapter.
1. Fulfilling the duties of the Treasurer
checking all invoices before payment/using Quick
Books for bookkeeping/making deposits/checking
statements/preparing Financial Statements each
month/selecting safe investments and monitoring
interest earned on each account, etc.
2. Processing membership dues AIA, Associate
AIA, Professional Affiliates.
3. Invoicing and follow up of monies owed to the
chapter.
4. Preparation and arrangement of all tax returns.
Responsible for due dates
B. ADMINISTRATIVE SERVICES general management
1. General office management
2. Coordination of Board meetings/meeting notices/agendas,
and distributing the Minutes from the Secretary
to all board members.
3. Coordinate AIA National and State AIA liaison
activities
4. General correspondence
5. Contacting non-AIA members
6. Maintain all records and files plus storage
of these records.
7. Create and update website weekly
8. Attend and oversee all Board and General Meetings/arrange
meeting facilities
9. Responsible for monthly luncheon seminars
the Provider, meeting locations, and reporting
the CEU's as well as the License Renewal Seminars
and Build Palm Beach Seminars research
and obtain suitable and appropriate seminars for
each event.
10. Post our events under Chapter Happenings'
with the State's Friday Fax.
11. Follow the guidelines of DPBR, as we are a
certified member
12. Constantly search for new and creative ideas
to advance the chapter
13. Office hours are extended
14. Coordination of membership meetings and programs.
Assist in the preparation and distribution of
the annual calendar.
15. Distribute weekly electronic newsletter/search
for additional annual sponsors.
16. Write minutes of the Annual Meeting.
17. Membership applications coordinated
18. Attend Grassroots, Regional and National meetings
as the discretion of the board.
19. Member of the Finance Committee for formatting
the annual budget.
20. Promote and assist in annual golf tournament
